We work with small animal veterinary clinics across the Portland metro area and Southwest Washington. Our work stays on the side of the clinic that never touches a medical record: how pet owners find you on Google and in AI answers, your reviews and Google Business Profile, the routine messages your front desk writes, your team's use of AI, and the administrative work around the practice.
We are not veterinarians, we don't make clinical recommendations, and we do not handle patient records. Reminders, recall, and anything else built on medical records belong in your practice management system and with that vendor. We can help you evaluate those tools, but we do not set them up or work with the data.
Where the hours go.
These are common recurring time sinks for veterinary practices in our service area.
- Pet owners searching for a vet nearby find the clinic down the street first.
- Online reviews and Google Business Profile sit unmanaged.
- Staff are already using ChatGPT, and nobody has written down what is and isn't allowed.
- The front desk rewrites the same client messages (new-client welcome, visit prep, clinic policies) from scratch every time.
- Job posts, SOPs, and vendor paperwork eat time the practice manager does not have.
Where AI actually fits.
The specific projects we offer veterinary practices. Each is scoped, quoted in writing, and capped at a not-to-exceed price.
Search and AI visibility
Getting the clinic found when a pet owner searches for a vet nearby or asks an AI for a recommendation: Google Business Profile, site structure, schema, and local citations.
Review requests
Putting the direct review link where happy clients will use it and building a steady review-request habit. Replies to reviews stay with your team and never mention a pet's visit or care.
Client message templates
Reusable templates in your clinic's voice for the messages your front desk writes over and over: new-client welcome, what to bring to a first visit, and payment and cancellation policies. No medical record data goes into them.
Staff AI policy and training
A one-page policy on what AI can and cannot touch in your clinic, plus live, hands-on training, in person or on Google Meet, so your team uses AI for the non-clinical work without putting medical records into it.
Back-office admin
Job postings, SOPs, vendor comparisons, and internal documents that never involve a medical record.
What this isn't for.
Where AI isn't the right answer in this industry. Knowing this up front saves everyone time.
- Clinical recommendations or diagnosis. Those stay with the licensed veterinarian.
- Anything that touches patient or medical records. That stays in your practice management system and with that vendor.
- Replacing the emotional connection that's the whole point of a small-animal practice.

FAQ
Questions from veterinary practices.
- Do you work with patient records?
- No. We keep our work to the parts of the clinic that never involve a medical record: search visibility, review requests, client message templates, staff training, and administrative work. Anything built on patient records belongs in your practice management system and with that vendor.
- Can AI write client communications for end-of-life or difficult cases?
- It can help draft general templates for these conversations, such as what to expect and how aftercare works, with no details from the pet's record. The veterinarian or staff member personalizes each one before it goes to a client. End-of-life and difficult-case communications are some of the highest-stakes touchpoints in veterinary medicine, so they are never a send-without-review workflow.
- Does AI work with my practice management software?
- Many veterinary practice management platforms (AVImark, Cornerstone, ezyVet, IDEXX Neo) now include their own reminder and client communication features. That is usually the right place for anything built on medical records. We can help you judge whether a feature is worth turning on, but setting it up and working with the records stays with you and the vendor.
