What was happening

Solid Serve Legal is a process-serving, private investigation, and mobile notary company in Gladstone. Most of its work runs through ServeManager, its job management software.

The rules are clear: a server reports on a routine job at least every 72 hours, and a rush job runs on a 24-hour clock. Her software had no list of the jobs that had gone quiet, so the only way to find them was to open each job and read its log. The owner said that took all day or all morning.

She reached out because she wanted, in her words, “somebody in my own community who's a live human being I could talk to,” instead of picking a tool blind.

What we did

• Walked through ServeManager with her and took her handwritten list of what she wants watched.
• Tested first whether Zapier's built-in ServeManager connection could do the job. It could not: it only reacts when something new is created, and this job is about noticing when nothing has happened.
• Built the check inside her own Zapier account instead. It only reads her jobs, so it cannot change one.
• Turned her list into seven checks, including a rush job with no activity in 24 hours, a routine job with none in 72, a proof waiting on a server's signature past 24 hours, and a proof sitting with a client past two business days.
• Tuned the rules against her live job list, so a job correctly waiting at the proof stage is not flagged as a stalled serve.
• Set it to send one digest to her and her operations inbox at 7 every morning.

Where it landed

• On a validation run against her live job list on build day, it read all 99 open jobs in one pass and sorted the ones needing attention into jobs to chase and proofs ready to file.
• It has run every morning since September 23.
• Built in a half day, from her handwritten list to a working check.
